Privacy Policy
This Privacy Policy explains how EventReps ("we," "us," or "our") collects, uses, and protects information when you visit eventreps.io (the "Site") or use PITCH Score, our lead-scoring platform for trade show exhibitors (the "Service"), available at pitchscanner.eventreps.io and related subdomains and as the PITCH Score iOS app.
The Site (eventreps.io)
What Information We Collect
We collect limited information, and only what we need to operate the Site and respond to inquiries.
Information You Provide Directly
When you submit our contact form, we collect:
- Your name
- Your email address
- Your company name (if provided)
- The content of your message
- Any other information you choose to include
These submissions are sent to us by email and are not stored in a separate database or shared with third parties.
Information Collected Automatically
When you visit the Site, our website platform (Squarespace) automatically collects basic technical information, including:
- IP address
- Browser type and version
- Device type and operating system
- Pages visited and time spent on each
- Referring website
- Date and time of visit
This information is collected through cookies and similar technologies and is used to operate the Site, understand how visitors use it, and improve the visitor experience.
We do not use Google Analytics, Facebook Pixel, LinkedIn Insight Tag, or other third-party advertising or tracking pixels. We do not sell or share your information with advertisers.
Cookies
The Site uses cookies for the following purposes:
- Essential cookies: required for the Site to function (e.g., security, session management). These cannot be disabled.
- Analytics cookies: set by Squarespace to measure Site usage in aggregate.
You can control or delete cookies through your browser settings. Disabling cookies may affect Site functionality.
PITCH Score (the Service)
PITCH Score is a lead-scoring platform used by our exhibitor clients ("Clients," "you" in this section refers to Client organizations and their authorized users) at trade shows. Through the Service, Clients scan attendee badges and capture lead information at their own booths, and PITCH Score enriches and scores that lead data.
What Information We Process
Account data (Client users):
- Name, email address, company, role
- Login credentials (via Supabase Auth)
- Usage activity within the platform
Lead data (trade show attendees, collected by Clients):
- Badge scan data (name, title, company, contact details as printed/encoded on the badge)
- Any additional notes or tags Client staff add during a scan, including voice notes recorded with the microphone, which are converted to text
- Enrichment data appended by our third-party enrichment providers (see Subprocessors below), which may include additional contact details, company firmographic data, and professional profile information associated with the scanned contact
Legal Basis for Processing (EEA/UK Users)
Where GDPR applies:
- For account data, we process on the basis of contract performance (providing the Service to our Client) and legitimate interest (maintaining account security).
- For lead data, the Client determines and is responsible for establishing the legal basis for collecting and processing attendee data (typically legitimate interest for B2B contact information, or consent captured at the point of the badge scan). EventReps processes this data solely as instructed by the Client, under the terms of our Data Processing Agreement with that Client.
How We Share Information — Subprocessors
We use the following subprocessors to operate PITCH Score. Each is bound by contract to protect data consistent with this policy and, where applicable, GDPR requirements:

We do not sell lead data or account data to any third party, and we do not use lead data for our own marketing purposes.
Data Residency
PITCH Score data is stored in a database hosted by Supabase, and the application is hosted on Netlify. Please see their privacy policies for details on their infrastructure.
If you require data residency in a specific jurisdiction, contact us to discuss options.
Data Retention
- Lead data is kept for as long as the Client's account is active. When a Client asks, or when an account is closed, we delete that Client's lead data within 30 days.
- Account data is retained for as long as the account remains active, and for a reasonable period afterward for legal and business record-keeping purposes.
Clients may request deletion of their organization's data, in whole or for specific records, at any time by contacting jeff@eventreps.io.
PITCH Score iOS App
The PITCH Score iOS app asks for access to your device's camera and microphone only when you use features that need them. The camera is used to scan attendee badges and business cards. The microphone is used for optional voice notes. You can turn either permission off at any time in your iPhone's Settings, and the rest of the app will keep working.
Deleting Your Account
You can request deletion of your PITCH Score account from inside the app (event selection screen, "Request account deletion") or by emailing jeff@eventreps.io. EventReps will follow up by email to confirm your request. Lead data collected by a Client is controlled by that Client; deletion of Client-owned data is handled with the Client's organization as described under Data Retention above.
Your Rights — Data Subjects
If you are a trade show attendee whose badge was scanned and you want to know what data a Client collected about you, exercise your rights, or request deletion, please contact that Client directly, as they control the data. If you're unsure which Client scanned your badge or need help identifying the right contact, email us at jeff@eventreps.io and we will assist in routing your request.
If you are an EventReps/PITCH Score account user, you may request access to, correction of, export of, or deletion of your account data by emailing jeff@eventreps.io. We will respond within 30 days.
Data Processing Agreement
Clients using PITCH Score to process personal data of EU/UK data subjects may request a Data Processing Agreement (DPA) covering our processing activities, subprocessors, and security commitments. Contact jeff@eventreps.io to request a copy.
General Provisions (Site and Service)
How Long We Keep Your Information
- Contact form submissions: retained in our email for as long as reasonably necessary to respond to your inquiry and maintain business records, typically up to 3 years.
- Automatic technical data: retained by Squarespace according to its retention policies.
- PITCH Score data: see retention terms in Part 2 above.
How We Share Your Information
We do not sell, rent, or trade your personal information. We share information only in these limited circumstances:
- Service providers: as listed above for the Site (Squarespace) and Service (subprocessor table).
- Legal requirements: if required by law, court order, or government request.
- Business transfers: if EventReps is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Your Rights
Depending on where you live, you may have rights regarding your personal information, including the right to:
- Access the information we hold about you
- Correct inaccurate information
- Request deletion of your information
- Object to or restrict certain processing
- Receive a copy of your information in a portable format
- Withdraw consent where processing is based on consent

For European/UK Users (GDPR)
If you are in the European Economic Area or United Kingdom, we process your personal information based on the following legal bases:
- Legitimate interests: to operate the Site and Service, respond to inquiries, and improve our offerings
- Contract performance: to provide the Service to our Clients
- Consent: for any non-essential cookies, where required, and where Clients rely on consent for lead data collection
- Legal obligation: to comply with applicable laws
You have the right to lodge a complaint with your local data protection authority.
For California Users (CCPA/CPRA)
California residents have the right to know what personal information we collect, to request deletion, and to opt out of any "sale" or "sharing" of personal information. We do not sell or share your personal information as defined under California law.
International Visitors
The Site and Service are operated from the United States. If you access them from outside the U.S., your information will be transferred to and processed in the U.S. By using the Site or Service, you consent to this transfer.
Security
We take reasonable measures to protect your information, including secure hosting, encrypted connections (HTTPS), access controls, and row-level data isolation between Client organizations within PITCH Score. However, no system is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
The Site and Service are intended for business users and are not directed to children under 16. We do not knowingly collect information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through a notice on the Site or Service.
